Business Report

The Business Report generated in ProfitGauges is the report you want to look at often to see exactly how your business is doing. All of the reports are updated every time you save a settlement or expense month. The Business Report can be viewed by month, quarter, or year-to-date. If you have multiple years entered into ProfitGauges, you can easily switch between years to compare how you're doing year to year.

If you have multiple trucks, you can view this report by each truck individually or for the whole company. Click on the drop-down menu under the picture of your truck (or where it says 'Upload Photo' if you have't added a picture) and select the truck you want to view or select 'My Company' if you want to view the reports for everything under all of your trucks and in the My Company section.

To access your Business Report, click on 'Business Report' on the left-hand side of the page. At the top of the page you will see the year the report is on. If you click on the year, a drop-down list will appear and you can select any previous years that are entered into ProfitGauges. You can select the year you wish to view from the list if you want to switch to another year.

Next to the year you will see the completed months in black, the months that are grayed out are the months that are not entered yet. To switch between months, simply click on the month you wish to view. Next up, you will see the quarters. Just like with the months, any quarter in black are the ones that are completed and the ones that are grayed out are the ones that are not saved yet. You can switch between quarters by selecting the available quarter you want to view.

Now, how to read the Business Report. The first line gives you a summary of your total profit, total miles, profit per mile, and yearly profit. The next section shows your total Gross Revenue, revenue per mile, the percentage of revenue for each subcategory (if you have one Gross Revenue subcategory it will show 100% and if you break out your gross revenue into separate subcategories you will see the percentage of revenue those subcategories make up), and your monthly revenue average.

The next section shows your expenses broken down by Fixed and Variable costs. Fixed costs are expenses that are consistent and expected bills you pay each month, such as insurance and truck payments. Variable costs are expenses that you may have one month but not another such as uniforms and office supplies. Both sections have columns that show the total for each category, cost per mile, percentage of revenue each cost takes, and the monthly average.

When the main category is black this means it doesn't have a subcategory linked to it or the subcategory is named the same as the main category. Main categories that are blue are ones with subcategories and can be clicked on in order to show and hide the subcategories.

To see all of your subcategories at once, click on the 'Show Subs' button at the top of the page. Subcategories report what percentage they are of the total main category. In the per mile/km column you'll see that subcategories listed out. Please note: because of rounding some values may be off by $0.01. This is completely normal and will report correctly for taxes.

Anything under Retained Earnings does not show on the reports because this category is used to balance a settlement for items that are not tax deductible such as money put into a maintenance account, or to keep expenses from doubling such as fuel that is already entered from syncing with FuelGauges. 

The Summary section at the bottom of the report shows your total revenue, total expenses, and your total profit along with the per mile, percentage of revenue, and monthly average for each one.

To print your report, click on the green 'Download' button at the top of the page. A window will pop up asking if you would like a Simple or Detailed report. The Simple report will show the main categories and the Detailed report will show the main categories along with all of the subcategories. If you clicked the download button on accident you can click 'Never Mind' to close the pop-up window.
